Court Booking Rules

  • Members can book courts 14 days prior from 6 am. In other words, when booking to play 14 days in advance the new booking sheet only becomes available from 6 am -- all other playing times within 14 days can be booked 24/7.
  • Members must select their playing partner/opponent's name to show on the booking sheets.
  • The club can book inter-club matches and regular coaching/group sessions on any number of courts with no limit on how far in advance.
  • Members are not allowed to book courts for private coaching lessons, the courts for private coaching must be booked by the coaches.
  • Midweek members may not play on any weekday after 5 pm, or any time on Saturday and Sunday. On Good Friday or Bank or public holidays, they may play only after 1 pm unless a tournament has been arranged for that afternoon in which case they may not play during the duration of the tournament unless invited to play therein. They may also play outside permitted hours when engaged in a coaching session by an approved club coach or when playing-in for 7 day full membership.
  • Maximum 4 x 30-minutes (2 hours) per member per day, these do not need to be continuous on same court. For example, you could book an hour in the morning, and another in the evening.
  • Floodlights
    • Members must purchase tokens at the club or at mix-ins or from committee members
    • £3.50 per token (1 hour)
  • Guest Fees
    • When playing a Guest, members must select the "Guest £1.25 TBC per 30 mins" as the playing partner/opponent to show on the Booking Sheets.
    • The system will automatically charge the guest fees to your booking system account.
    • If you're no longer playing a Guest, you can change your playing partner/opponent to a member, and the Guest Fees will be removed.
    • This can be done when you book the court or any time before playing.
    • No Guest may play more than 6 times per year.
    • Although you do not need to have sufficient credit to add guest fees to your booking, you will need to top-up your booking system account in order to cover the cost of any outstanding Guest Fees prior to booking more courts or being selected as playing partner on other members' bookings.
  • Member Accounts
    • Each member has an account within the booking system and must have credit in order to book a court with floodlight fees.
    • You can purchase credit (£5 minimum) with any credit/debit card when logged in.
    • Your transaction will be processed by Stripe, and your booking system account will be credited immediately.
    • On the day playing, MYCOURTS will automatically send a Booking Reminder to all on the booking sheets with a link to share the cost for those who were selected as the playing partner(s)/opponent(s).
    • Members can also share booking fees any time when logged in by using the facility to Transfer Credit.
    • Credit on members' accounts is non-refundable.
  • Check-in / No-Show Policy
    • The member who booked the court is required to check-in to confirm court usage within 2 hours prior to the latest reserved start time (or within an hour after playing).
    • The system assumes a "no-show" if the member who booked the court fails to check-in.
    • There are no "no-show" penalties on the 1st occasion, however, on all subsequent occasions, the system automatically activates a 7-day court-booking suspension starting the next day.
    • Check-in instructions:
      • You can check-in when within 150 metres of the clubhouse entrance.
      • Open https://weybridgeltc.mycourts.co.uk on your smartphone (Location Services must be turned on), login, and click the "GPS Check-in" button which you will find at the top of the booking sheets.
      • Your nominated playing partners/opponents may also check-in on your behalf, but as the person who booked the court, you remain responsible for check-in.
  • Late-Cancellation Policy
    • When unable to use a reserved court, members should cancel as soon as possible so that others may use the court.
    • When the booking is cancelled within 24 hours, the cancellation is logged as a late-cancellation.
    • Late-cancellations are reviewed by the committee.
  • Wet Weather
    • If you are unable to use your court booking due to bad weather, please cancel your booking as soon as possible as the system will otherwise assume a "no-show" and implement a booking ban. Please note bookings can only be cancelled prior to the reserved start time.
